Under supervision from the Payroll Accounting Manager, responsible for various accounting functions in the Payroll Department; including payroll tax compliance and filing requirements, assisting with bank and general ledger reconciliations.  Day to day activities require the use of initiative and judgment. Strong analytical and reconciliation skills required.

Payroll duties:

  • Assist Payroll Manager to assure payroll accounting is accurate and timely
  • Provide accounting support as an integral member of the payroll team
  • Provide analytical support to Payroll Manager and Payroll Clerks
  • Verify replacement check issues including working with employees to complete affidavit of claimant with the bank
  • Responsible for reconciliation of travel and cash advances to the general ledger
  • Provide customer service support to external customers and internal customers including forepersons and supervisors
  • Process payroll related ACH’s, with the exception those through CashPro

General Ledger duties:

  • Reconcile Payroll sub-ledger to General Ledger daily
  • Reconcile all payroll related accounts to general ledger processing journal entries as necessary
  • Provide for month-end, calendar year-end and fiscal year end reconciliations and journals
  • Assist Finance and Accounting Staff Accountant with bank statement analysis and reconciliation.


  • Prepare and submit weekly, quarterly and year-end payroll tax deposits, reports and file extracts for state and federal agencies to include reconciliation, printing and distribution of W-2s in an accurate and timely manner
  • Research, prepare, and submit corrected employee wages on W-2Cs and corresponding federal and state payroll tax forms
  • Prepare workers’ compensation wage and premium reports
  • Prepare and transmit escheatment reporting


  • Fulfill management’s requests for payroll analysis, reports or information as requested
  • Provides analytical support to Operations Accounting as requested


  • Participate in the annual audit as directed
  • Develop other accounting payroll related duties as needed

Knowledge of:

  • General accounting practices
  • General audit practices
  • General payroll and personnel regulations and procedures
  • Payroll tax law and filing requirements
  • All pertinent federal and state regulations; filing and compliance requirements for Medicare, Social Security and DOL requirements
  • Operation of standard office equipment, including personal computers, photocopier, fax machines, scanner and appropriate software such as, Outlook, Word and Excel
  • Microsoft Dynamics GP, a plus
  • Federal and state regulation benefit programs affecting employee ERISA, COBRA, FMLA, ADA, – Workers Compensation, a plus
  • Obtain certification as a Certified Payroll Professional


  • BA/BS in Accounting
  • Experience in a payroll accounting function, including payroll tax, a plus
  • Excellent customer service skills on the phone, in person and written
  • Knowledge of Microsoft desktop products including strong knowledge and experience with Outlook, Excel and Word
  • Ability to read, write and speak English and Spanish, a plus
  • Excellent verbal and written communication skills
  • Exceptional organizational skills
  • Strong analytical skills with the ability to understand, evaluate and make judgment on proposals
  • Ability to identify and resolve problems in a timely manner; to gather and analyze information skillfully
  • Must possess strong data sort skills with speed and accuracy
  • Ability to keep skill set current
